What This Page Covers
Section titled “What This Page Covers”How to view, filter, and manage the activity generated by review flows — including responses, statuses, message history, activity logs, and actions you can take on individual records.
Viewing Flow Activity
Section titled “Viewing Flow Activity”Open Review Flows under Customer Engagement, find the Flow, and select Activity. This contextual view stays locked to the selected Review Flow so its records cannot be mixed with another Flow. If the Flow can run at several locations, you can narrow the records by location while the Flow remains fixed.
From contextual Activity you can select Export or Request Review. When several locations are available, choose the intended location before preparing the new request. Both the locations you can choose and the records you can open depend on your access.
For a cross-Flow view, use View all review activity above the Review Flows tab on the dashboard. This opens Recent Review Activity, which includes requests and completed responses across all Review Flows you can access.
Activity List
Section titled “Activity List”Each card summarizes the customer and available contact details, lifecycle state, when and how the request started, response time, location, Review Flow, employee attribution, and sender. When available, it can also surface rating or score, a feedback excerpt, review-site activity, media, message or delivery warnings, marketing-permission capture, and the observed Journey.
Use Journey to open the observed path and View details to open the full record. When media exists, select its attachment count to preview it. The more-options menu can include Messages, System logs, Email options, Phone options, and the permitted Move to trash, Restore, or Delete forever action.
New Response Counts
Section titled “New Response Counts”The New number on a Review Flow card and the badge beside Review Flows count completed responses that arrived after you gained access and have not yet acknowledged. Counts are personal to you and never change another team member’s count.
Opening the Flow’s normal, unfiltered Activity page acknowledges the available responses and highlights the responses that were new when you arrived. A bookmarked Activity URL with filters, search, sorting, status, or pagination does not advance your acknowledgement point; it displays View new responses so you can return to the canonical page first.
List Tabs
Section titled “List Tabs”The activity list has tabs to quickly narrow your view:
- Completed — Records with a completed response
- All — Every flow activity record
- Active — Records currently in progress
- Review Attempt — Records where the customer clicked through to a review site
- Feedback — Records containing feedback
- Failed — Records whose overall request failed
All is the default tab.
Filtering
Section titled “Filtering”Use the filter panel to narrow results by:
- Location, Review Flow, Started As, Smart Link, Customer, Employee
- Has Employee (assigned or not), Sent By (team member who sent)
- Followup destination shown
- Rating / Score (star rating equivalents, plus Customer Recommendation Score categories: At-Risk, Neutral, and Advocate)
- Review Site, Public/Private visibility, and Completion
- Has Feedback, Has Review Attempts, Visited Review Site, and Request Link Opened
- Has Phone, Has Email
- Created, Completed, First Opened, and Review Site Visit date ranges
- Deleted records (include soft-deleted)
Record Detail Page
Section titled “Record Detail Page”Open a record to see its full interaction in grouped sections rather than a single long list.
What You’ll See
Section titled “What You’ll See”- Customer Response — Completion outcome, rating or score, feedback, public details, and review-site activity
- Public Reply — Your response to customer feedback when one exists
- Customer Photos — Submitted media and its public-use permission indicators
- Public Sharing — Current public visibility and available publishing actions
- Response Details — Customer, location, Flow, employee, sender, delivery, timing, and followup context
- Customer Journey — The observed path across connected resources, with links to related result records
Actions You Can Take
Section titled “Actions You Can Take”| Action | Description |

| Toggle public/private | Control whether this review is visible in widgets and public pages |
| Reply | Send a reply to the customer’s feedback |
| Edit employee | Change the attributed employee |

| Journey | Open the observed Customer Journey when one has been recorded |
| Delete / Restore | Soft-delete or restore a record |
The Journey timeline can show entered and completed times, the Smart Link or Saved configuration used, location or attribution context, and other Review Records or Form Responses in the same path. See Customer Journeys.
Related Record Pages
Section titled “Related Record Pages”Each record detail page has tabs for deeper information:
- Message History — Every email and SMS sent for this record, with delivery status, open counts, and customer replies
- Activity Logs — A step-by-step log of every action the customer took through the flow
- Audits — A detailed change history showing who modified the record and when
Publishing Testimonials
Section titled “Publishing Testimonials”When a customer provides content with marketing consent, you can use it in several ways:
- Review widgets — Toggle the record to public and it appears in your review widgets on your website
- Public pages — Public records are showcased on your BestLocalReviews.com public page
- Export for campaigns — Export records and use the feedback, photos, and taglines in social media, email campaigns, or AI-powered content generation
Exporting
