Flow & Form Reports
What These Reports Show
Section titled “What These Reports Show”Every Review Flow and Custom Form has a Reports page. Unlike the main dashboard, this page remains scoped to the selected Flow or Form and helps you understand how that specific experience is performing.
To open it, go to Review Flows or Custom Forms under Customer Engagement, choose the Flow or Form, and then select Reports.
For comparisons across several Flows or Forms, use Request Activity. For employee-linked results across Review Flows, use Team Performance.
Start with a Question
Section titled “Start with a Question”- Open the Flow or Form you want to investigate and select Reports.
- Set the period and, where available, the location.
- Start with Response Activity to understand entries and completions.
- Choose the date basis in Response Summary to match your question: outcomes completed during the period, or results from requests created during it.
- Review ratings or answers, then delivery and attribution for context.
- Open the matching activity records from a metric when you need to explain an individual result.
Choose the Reporting Period
Section titled “Choose the Reporting Period”Available date choices include:
- Today and Yesterday
- Last 7, 30, or 90 days
- Current Month and Last Month
- Last 12 months
- Custom
When the Flow or Form can be used at several locations, use the location filter to narrow the report to one location. You only see locations and results available to you.
Understand the Date Basis
Section titled “Understand the Date Basis”Some report sections let you switch between two date bases:
- Completed in Period — Counts customer activity that reached the measured outcome during the selected period, even if its request was created earlier.
- Requests Created in Period — Follows the requests first created during the selected period and shows what happened to that group.
These answers serve different questions. Use Completed in Period for recent workload or outcomes, and Requests Created in Period when comparing batches or campaigns that began during the same window.
For example, a request created on August 31 and completed on September 2 contributes to September’s completed results and August’s request-created group. A recent request-created group has had less time to finish than an older one.
Review Flow Reports
Section titled “Review Flow Reports”Depending on the Flow’s settings and available data, the report can show:
- Response Activity — Journeys Entered, Completed, Completion Rate, and How Journeys Were Entered.
- Response Summary — results and Customer Actions After Completion using the selected date basis.
- Customer Ratings — Star Ratings or Customer Recommendation Scores when the Flow collects them.
- Review Site Handoffs and Smart Link Results — recorded destination and link activity. A handoff does not confirm a published review.
- Request Delivery — Email Requests, Text Message Requests, Email Reminders, and requests handed off to a person’s device.
- Team Activity and Results by Location — sender, team-member, and location attribution.
A request handed off to a person’s device appears as a device handoff. FSRevs cannot confirm whether the person sent the message or whether it was delivered, so these requests are not included in delivery percentages. FSRevs can still record the customer’s later use of the request link and response.
Select a metric or drilldown to open Flow Activity with the Review Flow context already applied.
Custom Form Reports
Section titled “Custom Form Reports”Custom Form reports can show:
- Response Activity — Journeys Entered, Completed, Completion Rate, and How Journeys Were Entered.
- Response Summary — response volume and completion timing using the selected date basis.
- Answers — summaries for supported question types.
- Current, historical, and removed-question data when earlier responses still contain those answer keys.
- Smart Link Results, Request Delivery, Team Activity, and Results by Location.
The Request Delivery section separates email and text requests from requests handed off to a person’s device. FSRevs cannot track delivery after a device handoff, so those requests are not included in delivery percentages.
Select a metric or drilldown to open Form Responses with the form context already applied.
Why Totals May Differ
Section titled “Why Totals May Differ”Check the following before comparing two totals:
- Whether each section uses completion date or request-created date.
- Whether a location filter is active.
- Whether the metric covers all activity, sent requests, or Smart Link traffic only.
- Whether your access includes the same locations and records as another team member.
- Whether incomplete activity belongs in that metric.
Request Delivery counts message activity. A request can produce more than one channel attempt or a reminder, so message totals need not equal the number of customer requests. Review the section’s own labels instead of treating every number as a unique customer count.
Troubleshooting
Section titled “Troubleshooting”There is no data for the selected period
Section titled “There is no data for the selected period”Widen the period and check the location. Then check whether the section counts request creation or completion; activity may belong to a different period under the other date basis.
Customer Ratings or an answer summary is missing
Section titled “Customer Ratings or an answer summary is missing”The Flow may not collect ratings, the selected records may not contain them, or the Form question type may not have a summary. Use the matching activity records to inspect stored responses.
An old question appears after I removed it from a Form
Section titled “An old question appears after I removed it from a Form”Earlier submissions retain their answers. Historical question data can remain reportable even when the current Form no longer asks that question.
The report shows a review-site handoff but no new public review
Section titled “The report shows a review-site handoff but no new public review”FSRevs records the handoff. The external review site does not confirm whether that customer submitted a review.
